This Privacy Policy ("Policy") describes how Artemis Labs Pte. Ltd. ("we", "us", "our") collects, uses, discloses, and protects personal information when you visit our website at linkartemis.com or use the LinkArtemis software platform (together, the "Service").

We are committed to protecting your privacy and handling your personal information responsibly. Please read this Policy carefully. By accessing or using the Service, you acknowledge that you have read and understood this Policy.

1. Who We Are

The Service is operated by Artemis Labs Pte. Ltd., a company incorporated under the laws of Singapore. We are the data controller in respect of personal information collected through the Service.

2. Information We Collect

We collect personal information in the following categories:

2.1 Information you provide to us

  • Account registration: name, email address, password (stored in hashed form), and any other information you choose to provide when creating your account.
  • Billing and payment: billing name, billing address, and payment card details. Payment card data is processed and stored by our payment processor; we do not store full card numbers on our systems.
  • Communications: any information you include in messages you send us, such as support enquiries, feedback, or reports.
  • User Content: content you create or upload within the Service, including campaign settings, outreach templates, prospect lists, and notes.

2.2 Information generated by your use of the Service

  • Usage data: features used, pages or screens viewed, actions taken within the Service, campaign performance metrics, and timestamps.
  • Technical data: IP address, browser type and version, operating system, device type, referring URLs, and session identifiers.
  • Log data: server and application logs that may include IP addresses, request paths, error messages, and timestamps, retained primarily for security, debugging, and compliance purposes.

2.3 Information from third-party integrations

If you connect third-party services to your account (such as email providers), we will receive information from those services to the extent necessary to operate the integration, subject to the permissions you grant.

2.4 Cookies and similar technologies

We use cookies and similar tracking technologies on our website as described in Section 7 below.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the Service: creating and managing your account, operating features, processing payments, and delivering customer support.
  • Improving the Service: analysing usage patterns, diagnosing errors, testing new features, and making the Service more effective and user-friendly.
  • Communications: sending transactional messages (e.g. purchase confirmations, service notifications, security alerts) and, where you have given consent or where otherwise permitted by law, marketing communications about LinkArtemis.
  • Security and fraud prevention: monitoring for suspicious activity, enforcing our Terms of Service, and protecting the safety and integrity of the platform.
  • Legal compliance: meeting our obligations under applicable laws, regulations, and court orders, and exercising or defending legal claims.
  • Analytics and advertising: measuring the effectiveness of our marketing campaigns using tools such as Meta Pixel (Facebook Pixel) and similar analytics platforms, subject to applicable consent requirements.

We do not sell your personal information to third parties. We do not use your User Content or outreach data to train AI models or for any purpose other than providing the Service.

4. Legal Bases for Processing

Where applicable law (such as the EU/UK General Data Protection Regulation) requires us to identify a legal basis for processing personal information, we rely on the following bases:

  • Contract: processing necessary to provide the Service you have purchased or requested, including account management and payment processing.
  • Legitimate interests: processing necessary for our legitimate business interests, such as improving the Service, security monitoring, fraud prevention, and direct marketing to existing customers, provided those interests are not overridden by your rights and interests.
  • Legal obligation: processing necessary to comply with a legal obligation to which we are subject.
  • Consent: where we rely on your consent (for example, for certain cookies or marketing communications), you have the right to withdraw consent at any time without affecting the lawfulness of processing before withdrawal.

Singapore's Personal Data Protection Act 2012 ("PDPA") governs our collection, use, and disclosure of personal data in Singapore. We comply with our obligations under the PDPA, including the obligation to have a designated Data Protection Officer where required.

5. Sharing and Disclosure

We do not share your personal information with third parties except in the following circumstances:

  • Service providers (processors): we engage trusted third-party companies to perform functions on our behalf, including cloud hosting and infrastructure, payment processing, email delivery, customer support tooling, error monitoring, and analytics. These providers access personal information only to the extent necessary to perform their services and are bound by contractual confidentiality and data-protection obligations.
  • AI and model providers: when you use AI-assisted features, input data may be processed by AI model providers (such as large language model APIs). We use commercially reasonable measures to minimise the personal information transmitted to such providers.
  • Business transfers: if we are involved in a merger, acquisition, reorganisation, or sale of all or substantially all of our assets, your personal information may be transferred as part of that transaction. We will provide notice before your personal information is transferred and becomes subject to a different privacy policy.
  • Legal requirements: we may disclose personal information if required to do so by law, regulation, or valid legal process (such as a court order or subpoena), or where we reasonably believe disclosure is necessary to protect the rights, property, or safety of Artemis Labs Pte. Ltd., our users, or the public.

6. Advertising and Analytics

We use third-party advertising and analytics tools to understand how users interact with our website and to measure marketing effectiveness:

  • Meta Pixel (Facebook Pixel): we use Meta's pixel technology to track conversions and enable targeted advertising on Meta platforms. The pixel collects information about your browser and actions on our site (such as page views and purchases). Meta may use this information in accordance with its Data Policy. You can opt out of Meta's use of your data for personalised advertising via your Meta account settings or by visiting facebook.com/about/ads. We also use Meta's Conversions API to send server-side event data for deduplication and improved measurement accuracy.
  • Other analytics: we may use analytics tools (such as aggregate usage tracking) to monitor Service performance and usage patterns. Where possible, these tools are configured to minimise personal data collection.

7. Cookies and Tracking Technologies

We use cookies, pixel tags, and similar tracking technologies on our website. These may include:

  • Strictly necessary cookies: cookies required for the Service to function (e.g. session authentication, security tokens). These cannot be disabled without affecting Service functionality.

8. Data Retention

We retain your personal information for as long as your account is active and as long as necessary to provide the Service, fulfil the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements.

When your account is closed or your licence expires, we will retain your information for a limited period (typically up to 90 days) to allow for account recovery or dispute resolution, after which we will delete or irreversibly anonymise it, unless longer retention is required by law (for example, for financial or tax records, which we may retain for up to 7 years in accordance with Singapore law).

Log and diagnostic data may be retained for shorter periods (typically 30–90 days) unless required for active investigations.

9. Security

We implement industry-standard technical and organisational security measures designed to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include encryption of data in transit (TLS), access controls, regular security reviews, and the use of reputable cloud infrastructure providers.

Despite our efforts, no method of transmission over the internet or method of electronic storage is completely secure. We cannot guarantee absolute security. In the event of a data breach that affects your personal information and requires notification under applicable law, we will notify you and the relevant authorities as required.

10. International Data Transfers

We are based in Singapore. Our service providers and infrastructure partners may be located in other countries, including the United States and countries in the European Economic Area. Where we transfer personal information outside Singapore or the country in which you are located, we take steps to ensure that appropriate safeguards are in place, consistent with our obligations under applicable law (including the PDPA and, where applicable, GDPR).

Such safeguards may include the use of standard contractual clauses, binding corporate rules, or adequacy decisions recognised by relevant authorities.

Depending on your location, you may have the following rights in respect of your personal information:

  • Access: the right to request a copy of the personal information we hold about you.
  • Correction: the right to request correction of inaccurate or incomplete personal information.
  • Deletion / erasure: the right to request deletion of your personal information, subject to certain legal exceptions.
  • Restriction: the right to request that we restrict processing of your personal information in certain circumstances.
  • Data portability: the right to receive your personal information in a structured, machine-readable format and to transmit it to another controller, where technically feasible.
  • Objection: the right to object to processing based on legitimate interests or for direct marketing purposes.
  • Withdraw consent: where processing is based on consent, the right to withdraw consent at any time.

We may need to verify your identity before processing certain requests. We will not charge a fee for most requests, but may charge a reasonable administrative fee for manifestly unfounded or excessive requests.

If you are located in the EU/UK and believe we have not adequately addressed your privacy concerns, you have the right to lodge a complaint with your local data protection authority.

12. Children's Privacy

The Service is not directed at children under the age of 18, and we do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18 without parental consent, we will take steps to delete that information promptly. 13. Third-Party Links

The Service may contain links to third-party websites or services that are not operated by us. This Policy does not apply to those third-party sites. We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will post the revised Policy on this page and update the "Last updated" date. Where we make material changes, we will provide more prominent notice, such as an email to the address associated with your account, at least 14 days before the changes take effect.
